Question about Loan Periods, Loan Period Renewal, Return, Overdue Notices, and Loss of Items
The loan period is 1 month. It can be renewed a maximum of 5 times for 1 month each if no hold has been placed. After that, another online renewal is unfortunately not possible. If no hold has been placed on the item, you can just check it out again at the self-service station. It is not necessary to return it beforehand.
A renewal is possible 10 days at the earliest before the expiry of the current loan period. Renewal requests by telephone cannot be accepted.
Books of the University of Stuttgart Library can be returned at the return station during opening hours. A library card is not needed for the return.
Please return interlibrary loans or other items, such as CDs or microfiches, at the circulation desk during service hours, or leave them with the security staff outside of service hours to have them booked out of your account on the next workday.
At the Vaihingen location, there is a book drop next to the main entrance in which books and other items can be returned outside of opening hours. They will be booked in the library system on the next workday.
Items can be sent back to one of the circulation desks via mail at your own risk. Please take note that fees can incur in case of loss or damage of the items or a delay during shipping.
Items can be returned at the respective other library location.
Short-term loans are an exception. They have to be returned at the library location where they have been borrowed.
After the loan period has expired, there is a grace period of a few days before the 1st overdue notice is issued, after that the notices are issued at intervals of about 1 week.
The 1st notice is €1.50 per item, the 2nd notice €5, the 3rd and 4th notice are €10 per item each.
Overdue fines are added up.
They have to be paid in cash at one of the circulation desks during service hours.
Report the loss in time to one of the circulation desks. If the item cannot be found after a certain period of time, it has to be replaced.
Everyone who has a valid library card of the University of Stuttgart Library can place requests via interlibrary loan.
Items that are not in the holdings of the University of Stuttgart Library can be requested via interlibrary loan.
Please note that one interlibrary loan request is required per desired item.
- Books and journals that are in the University of Stuttgart Library’s holdings.
- Items that are available at bookstores at a low price (approx. €15 at the moment).
- Complete journal volumes of recent date (article copies are possible).
- Complete loose-leaf collections, patent specifications, DIN standards, TV recordings.

Please take note:
Items that are marked as borrowable in library catalogs may nevertheless not be available via interlibrary loan (e.g. valuable literature, bad condition of books, literature that is used frequently on site …). The owning library will decide about delivery and loan modalities.
Special requests (e.g. „only borrowable item“, „renewal of loan period should be possible“ …) cannot be considered due to the automated ordering process.
The fee for an interlibrary loan request is €1.50 at the moment. This fee has to be paid regardless of whether the request can be completed successfully.
As soon as you have submitted a request, the fee will be automatically booked to your user account.
In case there are additional costs (e.g. in the context of an international interlibrary loan), you will be notified beforehand.
Interlibrary loan requests for books are usually completed within 1 to 2 weeks.
They make take longer if the requested item is on loan at several libraries. In case of requests for articles, shorter delivery times of 1 to 5 days can often be achieved.
If you are not able to find the requested item when searching via the interlibrary loan portal or you have difficulties submitting the search, please use an empty request form. To do so, you click the button „No correct hits?“ and enter the bibliographic information as complete as possible to enable quick processing of your interlibrary loan request.
We will notify you as soon as your item has arrived. You will be informed via email if your current email address is entered at „My account“. If this isn’t the case, you will be notified via letter.
The items are available for pick-up for the entire loan period (usually 1 month).
The loan period is set differently by the individual lending libraries. It is usually 1 month. The borrowed item must be returned at the end of the loan period.
Loan period renewals for interlibrary loan items can be requested in the catalog via „My account“. If the request is not approved by the lending library, we will notify you by email or mail.
Please note that loan period renewals for interlibrary loan items are only possible under reserve.
In this case please turn directly to the staff of the interlibrary loan department who can cancel the multiple requests, if applicable.
In principle, we do not offer delivery service for requested items.
Exception: At the moment we mail copy requests to the address listed in the user account.
An interlibrary loan fee is a processing, not a completion fee. It cannot be refunded if the requested document could not be provided.
Literature that is not listed in Germany can be requested from foreign libraries. Costs for requests from abroad can vary and have to be borne in full by the user. If you wish to place a request from abroad, please turn directly to the interlibrary loan department of the University of Stuttgart Library.
Questions about Item Locations, Requests, Provision of Items, and Borrowing
Use the catalog to determine if the desired item is in the University Library’s holdings.
At the bottom of the entry you find information on the „location“ and „availability“. Depending on the location of the item, it can be
- requested from the closed stacks or the other library location
- put on hold if presently on loan
- taken directly from the open shelves or the open stacks.
In the “Freihand” or “open shelves” area you can find the holdings that are open to the public and borrowable. They are sorted by subject.
Open stacks can only be found at the City Center location. They are a part of the stacks that has been set up to be open to the public. The items are borrowable and sorted just very roughly by major subject groups. A search in the catalog in advance is recommended.
Printed periodicals are mostly set up in separate areas in the reading room and are non-borrowable without the possibility of a short-term loan.
Within the subject group shelfmark for the desired volume, journals are sorted alphabetically by title within the subject.
Course reserve collections contain exam-relevant literature and important items for study courses that have been compiled at request of lecturers.
These items are non-borrowable.
The closed stacks are not open to the public. Please request items from these locations via the catalog of the University Library.
The closed stacks are manned from Monday to Friday between 10 a.m. and 3:30 p.m. If the location of item and pick-up is the same, the requested items are available for collection after approximately 20 minutes.
Items from the other library location will be available on the next day after approximately 1 p.m. Exception: items requested on Friday or Saturday will be available for collection on Monday after 1 p.m.
You can borrow 150 items in total.
You can check out items that are ready for collection on the pick-up shelves and items from the open shelves at the self-service stations during the entire opening hours. You open your library account by either scanning the barcode of your library card or placing your student ID card on the card reader. Then put the desired items on the marked surface and take note of the dialog on the screen. As soon as the items have been checked out successfully, you receive a loan period slip by pressing the Exit button, and your library account will be closed again.
For a part of the reference collection, there is the possibility of a short-term loan. You can check these items out at the circulation desk during service hours (Monday to Friday 8 a.m. - 6 p.m., Saturday 10 a.m. - 3 p.m.), the loan period ends at noon on the third day after the checkout day.
A renewal of the loan period or an immediate new checkout is not possible.
They have to be returned at the library location where they have been checked out. In case of delayed return, short-term loans are subject to increased overdue fines.
Requested items are available for collection for 7 days.
If you have answered the question „Notification for provided items“ with „Yes“ during the request / placing a hold, you will receive an email if an email address is registered in the library account, otherwise a letter in which case you have to reimburse the postage.
Because they are old or need to be protected for other reasons or because they are loose-leaf collections.
Yes. Your account will only be blocked once the overdue fines have reached a minimum of €6.
I have forgotten my library card / my student ID card of the University of Stuttgart at home. Can I borrow items, anyway?
No. Borrowing is only possible with a valid library card / student ID card of the University of Stuttgart.
Literature from the holdings of the institute libraries cannot be requested for pick-up at the University Library.
Please turn directly to the library in question, but note that the holdings are usually reference collections. As a rule, they are non-borrowable.
Electronic books and journals are listed in the catalog. Instead of a shelfmark, however, you will find a link for the title that leads to the book or journal.
The electronic offers (e-books, e-journals, databases) of the University of Stuttgart Library can be used by members of the University of Stuttgart, i.e. students or employees, from home via VPN or Shibboleth (you can find further informations here (DE)).
